The basic workflow
You don’t need any specialist software to start. The simplest version uses the voice dictation button already built into your phone keyboard and ChatGPT.
At the end of a survey or job, open ChatGPT on your phone. Tap the microphone icon and speak your notes out loud. Don’t worry about structure. Just say everything you noted: the measurements, the customer change requests, the access issue, the agreed colours. Then ask ChatGPT to turn that into a structured survey summary with sections for product specification, access notes, customer requests, and anything that needs confirming before ordering.

What this looks like in practice
You finish a survey. The one rule to follow
Always read the output before you save or send it. Voice AI is very accurate but it will occasionally mishear a technical term or structure something in a way that doesn’t reflect what you said. A thirty-second read-through before you paste it into a job record is all it takes. Treat the AI output like a first draft, useful, fast, but still needing your eye before it moves on.
