How to Use ChatGPT Memory to Win Deals, Upsell and Handle Price Pushback

The glazing market is still tough. Lead flow is unpredictable, conversion rates are under pressure, and in some cases, business owners are having to make difficult decisions about their teams. But there are still jobs to be won, quotes to be improved, and deals to be saved.

This month, we’re going beyond AI for quick replies or admin tasks. Instead, we’re showing how to use ChatGPT’s memory feature (available on the Plus plan) to actively support your sales process—helping you upsell when jobs are won, recover value when prices are challenged, and keep moving when things are quiet.

If you're on the free version of ChatGPT, don't worry—you can still follow the same approach. You'll just store your materials locally and upload them into your chat when needed.

You don’t need technical skills. Just a bit of setup, and you’ve effectively got a virtual assistant who remembers your tone, your products and your pricing approach—ready to generate the right message at the right moment.

How to Set Up ChatGPT for Sales Support

If you’re using ChatGPT Plus, you can activate the memory feature. This allows ChatGPT to remember your brand voice, product range, and key sales messages across different chats. You'll enter your core business information once, and ChatGPT will retain it.

To do this:

  • Go to Settings > Personalisation > Memory > Turn On
  • Provide your business overview, tone/style guide, upsells, and finance terms in one session
  • ChatGPT will automatically summarise and store that information for future use

If you're using the free version of ChatGPT:

  • Store your documents locally (e.g. in a folder called “ChatGPT Sales Setup”)
  • Each time you need to generate a sales message, attach the relevant files into your chat
  • Then paste your GLASS prompt as normal

This is a bit more manual, but it works exactly the same—and avoids needing to rewrite information every time.

Documents to Create and Store

Whether you're using memory or uploading on the fly, here are the key files you’ll want to have ready:

  • Product & Service Overview – what you sell, how you install, what makes you different
  • Common Upsell Opportunities – when to offer triple glazing, internal blinds, composite doors, etc.
  • Sales Value Statements – what makes you worth choosing, even if you’re not the cheapest
  • Finance & Payment Info – your terms, lead times, and payment options
  • Tone and Style Guide – how your brand sounds in writing
  • Example Quote Summary – so the AI can refer to a realistic project scope

You can download all of these from the accompanying article pack. Just see the link below or use the QR Code. You can also build your own from scratch.

Prompt 1: Upsell After Project Win

Goal: Write a follow-up email to confirm the job and introduce a relevant upsell Listener: A homeowner who has agreed to proceed Action Format: Email Style: Friendly, professional, non-pushy Specifics: Customer has chosen uPVC windows but hasn’t selected doors. Composite door upgrade available. Finance also available if needed.

Example Output:

Subject: Your Window Project – Additional Options

Hi [Customer Name],

Thanks again for confirming your window project with us. We’re really pleased to be working with you.

Just before we finalise everything, I wanted to mention that many of our customers choose to upgrade their doors to composite styles—especially if you’re looking for added insulation or a premium finish. We can show you some options if you’d like to see how that compares.

Also, if you’re considering spreading the cost, we do offer finance—just let me know and I’ll include details.

Looking forward to getting started!

Best regards,

[Your Name] [Company Name]

Prompt 2: Responding to Price Pressure

Goal: Write a professional response to a customer who says they’ve had a cheaper quote Listener: A homeowner comparing multiple quotes Action Format: Email Style: Calm, confident, helpful Specifics: Original quote was £8,400. Customer has received a quote at £7,600. Offer reassurance on product, installation and aftercare. Suggest scaled-back option if appropriate.

Example Output:

Subject: Your Window Quote – Options and Clarification

Hi [Customer Name],

Thanks for your update. It’s totally understandable to compare quotes, and we want to make sure you feel confident in your choice.

While we may not always be the lowest in headline price, we focus on delivering long-term value: from product quality to professional installation and aftercare. That includes our 10-year guarantee, certified fitters and a dedicated support line for aftersales.

That said, if you'd like, we can look at a version of the quote that simplifies some of the specifications or swaps to alternative glazing options. We also offer finance, which can help make the project more manageable month to month.

Let me know how you'd like to proceed and we’ll be happy to revise things if needed.

Best regards,

[Your Name] [Company Name]

Why This Approach Works

These aren’t just templated replies. They're smart, tailored messages based on:

  • Your real quote
  • Your tone of voice
  • The add-ons or options you actually offer

That’s what ChatGPT memory (or a simple uploaded set of documents) allows you to do. It stops you starting from scratch every time. It helps you respond quickly but with quality. And it gives you a consistent tone across your sales process—especially useful if more than one person is sending messages.

What to Do Next

  • Set up your document pack with sales notes, quote example, upsells and tone guide
  • If you have ChatGPT Plus, enable memory and load the info in one session
  • If you’re using the free version, upload your documents at the start of each new chat
  • Use saved GLASS prompts to write your upsells and price replies

We’ve also created a video walkthrough showing how to set up your documents and generate replies that match your brand. You can scan the QR code or go to https://thinkivity.co.uk/using-chatgpt-memory-for-more-sales to download the prompt and template documents and watch the video walkthrough.

This technique is one of many we cover in GlazePro AI (https://thinkivity.co.uk/GlazePro-AI). This is the membership community for glazing businesses using AI to improve their sales, marketing, admin and operations. It’s not about working harder. It’s about getting more from what you already have.
