From Notes to No Mistakes: How AI Can Transform Your Contract Handover
How AI can transform your contract handover.

We’ve talked about using AI to speed up responses, write better email follow-up messages, and summarise customer conversations. But there’s one place where most glazing businesses still lose time, drop the ball, or just work harder than they need to: the contract handover.
This month, we’re looking at how to use simple AI tools to support the operations handover meeting. This is the point where a sale becomes an installation. With just a little setup, you can turn a 20-minute meeting into a consistent, accurate, professional handover report, saving your team hours of back and forth.
And importantly, you don’t need any new software. If you’re already using Zoom/Teams and ChatGPT (or CoPilot), you’ve got everything you need.
Why the Handover Is So Often a Headache
The handover from sales to operations should be simple. The quote is agreed, the customer is happy, the survey is complete, and it’s time to schedule the fitting.
But in reality, it often looks more like this:
- Sales give verbal instructions and forget a detail
- The fitting team turns up unclear on what’s been promised
- The customer asks about a handle colour or extra they assumed was included
- Installers call back to clarify, slowing down the job and eroding both margin and trust
None of this is due to laziness. It’s just the reality of a busy team juggling multiple jobs. The contract handover often ends up being informal or rushed, with little or no documentation. That’s where AI comes in.
The Fix: Use AI to Capture and Structure the Handover
Here’s a simple five-step method you can use to make handovers faster, clearer and more reliable—without changing your entire process.
Step 1: Run the Handover Meeting as Normal (But Record It)
Hold your contract handover meeting between sales, ops and the surveyor (if needed). This could be in person, or even on Zoom or Teams. Either way, you can record it.
You’ll cover the usual points:
- What’s being fitted
- Any upgrades or variations
- Notes from the survey
- Customer preferences or concerns
- Timeframes, access, outstanding actions
Keep it natural—this isn’t about turning into a robot. Even if you run the meeting online, it is just a 'normal' conversation.
Step 2: Use a note taker such as Fathom to Summarise the Meeting
Fathom is a free AI tool that plugs into Zoom or Teams and automatically:
- Records the meeting
- Summarises the key decisions
- Extracts a list of action points
- Provides a clean transcript
You don’t have to type anything. Just run the meeting, and Fathom does the rest. Within minutes, you’ll have a summary you can copy and paste or send directly to ChatGPT. If you want to run the meeting in the office, try using MS Word to record the meeting using the dictate feature. Or use Fireflies or similar AI meeting recorder Apps. We compare them in GlazePro AI.
Step 3: Collect the Supporting Documents
You’ll want to add:
- A copy of the final quote (or just paste the summary)
- Any CRM notes
- Survey details
- Optional: photos, diagrams, special instructions
If you’re using ChatGPT Plus, you can upload these into a single chat. If you’re using the free version, just copy and paste the contents from these documents into your chat at the start of the session.
Step 4: Use a GLASS Prompt to Create the Handover Report
This is where ChatGPT comes in. Use a prompt like this:
Goal: Create a contract handover summary for the installations team
Listener: Internal ops and fitting team Action Format: Handover report (bullet points or checklist) Style: Factual, structured, clear Specifics: Use the meeting summary, quote and survey info. Include customer preferences, access, extras, and anything flagged as an issue.
ChatGPT will generate a neat report that looks something like this:0
Project: Chapman Residence
Address: 14 Oakfield Crescent, Preston PR2 8AW Install Type: 6 x Flush Sash Windows, 1 x uPVC French Door (Anthracite Grey / White)
Contact: Mr & Mrs Chapman
Phone: 07700 123456 Home During Day: Yes
Site Notes:
- Rear access through side gate
- No scaffolding required
- Dog on site – gate must be kept closed
- Keep area clean during the fitting and don’t have the radio on
Agreed Extras:
- Plaster repair to inside
- Render repair to outside (not painting)
Install Date: w/c 7 October (3 days)
Finance: 25% deposit paid, balance via 3-year finance (approved)
Actions:
- Customer to confirm handle finish for rear French doors before ordering
- They are aware this will affect the install date if not decided this week
- Fitters to protect kitchen tiling – edge fragile
This can be printed, saved to your job folder, or stored in your CRM. It’s easy to find, easy to follow, and it removes ambiguity. If you want to take it a step further, you could provide an example of a previous report and tell ChatGPT to copy the format.
Step 5: Use It Every Time
The real power of this method is in repetition. Once you’ve done it once, it becomes second nature. Your contract handovers become faster, clearer, and most importantly; repeatable.
- No more missed details
- No more last-minute calls
- No more “That’s not what we discussed” moments
And because it’s structured by AI, even a newer team member can follow along.
Make This Your New Standard
You don’t have to overhaul your systems. Just:
- Run your handover meeting on Zoom or Teams
- Let Fathom record and summarise it
- Add your key documents
- Use a GLASS prompt in ChatGPT to create your handover report
- Save the output and share it with your team
